Exhibiting Process

Booth Selection

The show management will provide available booths for exhibitors to select and confirm their booth number.

Sign the contract

Exhibitors are required to read “Terms and Conditions” thoroughly, then fill out the contract, stamp it, send back to the show management with scan file.  After receiving the file, the show management will stamp it and send back with a down payment invoice(50% of the total booth fee).

Down Payment

Exhibitors must make a 50% down payment on the booth fee within 15 days of signing the Contract.

· The exhibitor will be responsible for any bank charges incurred.

· The show management reserves the right to cancel the exhibitor’s participation if the booth fee is not paid in full by the due date.

Exhibitor Manual and Value-Added Services

Exhibitors can log in to the official website to view all exhibitor services including Exhibitor Manual and value-added services.

Please note:

· The Exhibitor Manual contains important information about the exhibition, such as booth setup regulations, shipping and handling procedures, and insurance requirements.

· Value-added services include marketing and promotion assistance.

· Raw space booth exhibitors are responsible for all aspects of booth construction, including the design, construction, and dismantling of their booth.

Balance Payment

· All booth fees must be paid in full by 27 December, 2024.

· The exhibitor will be responsible for any bank charges incurred.

· Booths that are not paid in full by the deadline will be released for sale and will not be held.

Exhibitor Check-In

· On the set-up day, exhibitors should bring their ID/Passport to the exhibitor check-in counter at the exhibition hall.

· Exhibitors will collect their badges and kit at the check-in counter.

· Exhibitors must scan the QR code on their name badges to enter the exhibition hall for booth set-up.

The specific check-in process will be announced in detail on the exhibitor platform and the WeChat Platform”hfexpo”.

Notes:
Cost for raw space booth includes: space rental, basic lighting in hall, public area cleaning, site management and services. Raw space starts from 27m2.

Cost for shell scheme booth includes: raw space services, stand construction, dismantling side and rear partitions (white, 2.5m high), booth carpet, waste basket*1, desk*1, folding chairs*2, spotlights*2, power outlet*1 and fascia board with company name/booth number printed. Shell Scheme booth at 18 m2 or under shall not be changed or constructed as raw space booth. The maximum shell scheme booth is 36 m2.
